We are seeking an Executive Assistant to provide support for three Marketing Executives. This position will also provide operations support for the in-house agency.

 

What you’ll do:

  • Provide administrative support for assigned Marketing executives, including calendar management, travel planning and expense reporting.
  • Coordinate executive leadership meetings and marketing events.
  • Light office management duties, such as ordering supplies and distributing mail.
  • Ensure Outlook distribution lists are regularly updated to maintain precise and effective communication.
  • Organize and develop PowerPoint presentations for executives, maintaining consistency with established brand standards.
  • Create and maintain departmental files utilizing the full suite of MS Office.
  • Work in tandem with the Operations team to plan, organize and execute engagement events and other ad hoc agency initiatives.
  • Establish and maintain collaborative and professional business relationships with all levels of management, employees, and key business partners.
  • Provide backup support as needed to members of the Operations team and other marketing administrative assistants.

Required Qualifications:

  • Experienced Executive Assistant with a proven track record of supporting senior executives, where the emphasis is placed on the quality and breadth of experience rather than length of service.
  • Technically savvy, proficient in Microsoft Applications including Outlook and MS Teams, and ability to learn new technologies rapidly.
  • Demonstrated ability to manage several complex calendars simultaneously.
  • Travel & Expense management experience required, Concur preferred.
  • Highly organized, multi-tasker who works well under pressure and meets deadlines.
  • Demonstrates sound judgment and handles sensitive, confidential information with tact and discretion, maintaining a high level of accuracy and attention to detail.
  • Responds to direction while proactively anticipating leadership and team needs.
  • Great interpersonal and communications skills—written, verbal and face-to-face.

Preferred Qualifications:

  • Bachelor’s degree in business administration, Operations, or related field preferred.
